Find, tag and export the people you’ve reached

The Leads page lists everyone Dartzo has saved. Tag people, add your own fields, build segments, read one person’s story, and export a CSV on Pro.

Updated

Behind every comment that got a DM is a person. Dartzo can keep a record of each one. This page covers that list (Leads in the sidebar), how to organise it, what you can learn about a single person, and what you can take with you.

Saved people versus captured leads
The Leads page lists every person Dartzo has saved for you. A lead in your analytics is stricter: a person with an email or phone number actually captured. Someone saved with only an Instagram name is on the list but is not counted as a captured lead.

What the Leads page shows

The page header reads “N leads captured” and the table lists one row per person, newest first. It shows your 500 most recent people; the CSV export and broadcasts consider everyone. A person is never listed twice, because Dartzo matches people by their Instagram ID.

ColumnWhat it holds
LeadTheir @username when known, otherwise their name, otherwise a short ID such as “IG·123456”.
TagsYour labels. Press + on a row to add one, × on a tag to remove it.
Your fieldsOne column for each custom field you create (see below). Click a value to edit it.
Email, PhoneFilled only when the person shared them. Otherwise a dash.
WindowOpen if they messaged you recently enough that you can still message them, Closed otherwise. A tap on a button counts as messaging you.
CapturedHow long ago they were saved, such as “3h ago”.

The Window badge is an estimate for the moment you open the page. Dartzo stops 6 hours short of Instagram’s 24, so “Open” means roughly the last 18 hours; the exact check happens again at the instant of any send. See Limits and windows and Broadcasts.

If the page says No leads yet, no one has been saved. People are saved by Capture leads in DM on an automation (Pro and above) or by answering a Collect info question (every plan). See Collect emails and phone numbers in DMs.

Tags

Tags are labels such as VIP, Waitlist or Affiliate. Press Manage tags to create one: a name, a colour and an optional Auto-tag keyword. With a keyword set, everyone captured by a matching automation from then on gets the tag. People saved before you created the tag are not back-tagged.

To tag many people at once, tick the checkboxes at the left of the rows (or the box in the header to select all in view). A bar appears reading “N selected” with Add tag: and your tags. Press one to apply it to everyone selected.

Custom fields

Press Fields to add your own columns: a Field name and a Type of Text, Number, Date, Yes / No or Choice (with the choices typed comma-separated). Click any cell to edit it; it saves when you press Enter or click away. Deleting a field removes its column but keeps the values stored on each person. Custom fields are for your own notes and segments; they are not part of the CSV export.

Segments

A segment is a saved filter that always shows whoever matches right now. Press + Segment, name it, choose to Match All or Any of your rules, and add rules:

  • Tag rule: people carrying a tag.
  • Field rule: a custom field that is, is not, contains, is greater or less than a value, is set or is empty.
  • Attribute rule: Inside the 24h messaging window, Reachable in DMs (Dartzo holds a messaging ID for them), or Consented, each Yes or No.

Press Save segment. It then appears as a button beside All leads. Selecting it shows how many people match and how many of those are in the window now. A segment with no rules means everyone. Segments are what you choose as the audience in a broadcast.

Export

  1. Open Leads
The Export CSV button sits at the top right. It appears only when you have at least one person saved and your plan includes lead capture.
  2. Download
You get one file named dartzo-leads-YYYY-MM-DD.csv containing every saved person, newest first, not just the 500 on screen. On the phone app, the Leads tab shares the same file through your share sheet.
CSV columnContents
name, handleTheir Instagram name and @username, when known.
igsidTheir Instagram ID, so a person without a username stays identifiable.
email, phoneAs captured; empty otherwise.
channelinstagram.
consented, consent_sourceWhether they agreed to be contacted and how (quick_reply_optin for a button tap, ref for a link into your DMs). Empty for people saved without consent.
captured_atWhen they were saved.
Use the export for what people agreed to
A row with consented false means you hold their Instagram identity only. You can message them on Instagram while the 24-hour window is open, but you do not have permission to email or call them. Tags and custom fields are not in the file.

Plans

Saving everyone your DM reaches (Capture leads in DM) and the CSV export are on Pro, Max and Ultra and during a 14-day trial. Asking for an email or phone with Collect info works on every plan, Free included. Tags, fields and segments have no separate plan lock. Dartzo does not cap how many people you can hold on any plan. If you move to Free, people already saved stay visible, the export is hidden, and only Collect info answers add new people. See Plans and features.

There is no button on the Leads page to delete a single person. To have someone removed, contact us; to remove everything, see Delete your account.

Common questions

Why do I have hundreds of people but almost no emails?
Saving a person and capturing an email are separate steps. Dartzo saves everyone whose DM was delivered when Capture leads in DM is on, but an email or phone is recorded only when someone answers a Collect info question with one. To get more answers, turn on Send the link only after they answer; see Collect emails and phone numbers in DMs.
What does the Window column mean?
Open means the person messaged you recently enough that Instagram still allows a message from you, roughly the last 18 hours by Dartzo’s margin. Closed means that has passed. A comment alone never opens it.
Does the export include my tags and custom fields?
No. The file holds name, handle, Instagram ID, email, phone, channel, consent and capture time. Tags and custom fields stay in Dartzo.
Why does the list stop at 500 people?
The page shows your 500 most recent for speed. The CSV export includes everyone, and broadcasts use your full list.
